Conditions of participation Clubs

for the TUNING WORLD BODENSEE 2026

1. Duration and Location of the Club Area / Scene Hall
The Club Area of TUNING WORLD BODENSEE will take place from Thursday, May 14 to Sunday, May 17, 2026 during the TWB at the exhibition grounds in Friedrichshafen. Opening hours are Thursday to Sunday from 10:00 AM to 6:00 PM.

2. Application and Admission
By signing, the terms and conditions of participation for the Club Area are accepted. However, this application does not constitute a confirmation of participation from the fair. Only written approval confirms participation in the Club Area presentation at TUNING WORLD BODENSEE. Since admission is determined by a jury process, the fair has no influence on who is ultimately eligible to participate.

3. Withdrawal from Participation
Withdrawal from a participation confirmed by Messe Friedrichshafen is generally not possible for logistical and organizational reasons. In case of withdrawal, the full participation fees will be charged.

4. Setup and Dismantling of Presentation Areas
All setup work for individual presentation areas must be completed by Thursday, May 14, 2026, at 08:00 AM. All areas must be cleaned, and personal waste or dirt must be removed. Setup of the presentation area can begin on Tuesday, May 12, 2026, at 08:00 AM. Dismantling takes place after the fair closes on Sunday, May 17, 2026, and must be completed by Monday, May 18, 2026, at 6:00 PM.

5. Competitions
All registered clubs automatically participate in the competition “Vote for the Best Club Stand.”

6. Stand Costs / Additional Costs

  • Standard Stand (6 x 10m or 5 x 12m): €149
  • Double Stand (24 x 5m or 12 x 10m): €280

All other chargeable services can be purchased via the OSC (Online Service Center) after admission.

7. Presentation Area
The stand area is primarily considered a presentation space. This means that it is desirable to creatively present both the vehicles and the club. Own decoration, display, and promotional materials are allowed. Stand constructions and system walls are permitted. Creativity has no limits; however, the fair reserves the right to withdraw approval for questionable content (violence, pornography, offensive topics) if such elements are not removed.

Commercial exhibitors are not permitted in the Club Area. The Club Area is only for clubs, associations, and interest groups. Products may not be sold, promoted, or offered at the club stand. Messe Friedrichshafen reserves the right to require dismantling or to close the stand in case of violation. Participation fees will not be refunded, and any costs incurred by the fair will be charged to the responsible party.

IMPORTANT: The use of flammable decorative materials is only allowed if:

  • a certificate for B1 fire classification is available,
  • or the material has been treated with an approved flame retardant,
  • or a burn test confirms safety.
    If these requirements are not met, the decoration must be removed or replaced.

8. Stand Activities and Noise/GEMA Registration
Any sound, music, stand parties, shows, or activities require approval from the fair management. Starting engines in the halls is prohibited; violations will result in a fine of €500.

GEMA registration is required if music from a vehicle is played outside of the vehicle.

9. Advertising
Flyers, posters, and other promotional materials (for private use only, no commercial advertising) may only be distributed or displayed on or within the club stand area. Distribution of flyers, posting posters, or other advertising throughout the exhibition grounds is strictly prohibited. Violators will be fined €350 plus any additional costs (cleaning fees).

10. Data Protection and Copyright
All registered clubs and members agree that images of vehicles, club stands, and persons may be published, including video footage, in all media. Address entries on the fair website and in other media are also approved. Data will only be used by the fair, its partners, media, or their customers.

11. Payment Deadlines
For a confirmed participation, the amounts for the stand area and any additional services are due 100% in advance. An invoice with payment request will be sent automatically via email.

12. Violations of Exhibition Rules
In case of violations, the fair may immediately close the presentation area and carry out the removal. Participation fees will not be refunded. Any costs incurred will be charged to the responsible party.
